Online Reputation Management: Six Surfaces Every Business Should Audit

The six reputation surfaces
- Search results: Audit the first page for the brand name, key services and founder names. Identify outdated pages, misleading snippets and third-party listings.
- Review platforms: Separate genuine service issues from suspected policy violations. Record the owner, response and operational follow-up.
- Owned social channels: Check that company names, positioning, services and contact details match the current website.
- News and third-party records: Find directories, partner pages and media coverage that still use obsolete descriptions. Prepare an authoritative source before requesting a correction.
- Creator and community content: Review partnership disclosure, product accuracy and whether old sponsored content still represents the current offer.
- AI answers: Run a fixed panel of questions, record the answer and cited sources, and trace inconsistent statements back to the web pages that may be feeding them.
Use the Reputation Surface Map
Create one row for every important platform and record six fields: surface, current claim, evidence URL, business impact, accountable owner and next review date. Start with high-impact information that the company can directly correct, such as the official website, Google Business Profile and social biographies.
For example, a Hong Kong professional-services firm may have acceptable review scores but still find that search results show an old service name, LinkedIn uses a different description and an AI answer cites an obsolete event page. The right first move is to establish one current company description, update controlled channels and give third parties a verifiable source. Buying or manufacturing additional positive reviews would not solve the information conflict.
Weekly 30-minute audit
Search the company name, one priority service, the founder name and one high-value customer question. Check the main review platform, two owned social accounts and five fixed AI prompts. Record only what changed, its risk, the owner and the next action. This keeps monitoring connected to operational work.
Boundaries
Genuine reviews should not be suppressed simply because they are unfavourable. Google states that reviews should reflect genuine experiences and prohibits incentives offered in exchange for posting, revising or removing reviews. Suspected violations should be handled through the relevant platform process, while service complaints should be investigated and answered without exposing personal information.
