Four Review Types Need Different Response Paths
Classify a review by factual status and risk before choosing a public reply, private follow-up, platform report or specialist escalation.
Direct answer
Classify a review by factual status and risk before choosing a public reply, private follow-up, platform report or specialist escalation.
Why one template fails
A genuine service complaint, a disputed factual claim, a suspected policy violation and a privacy or legal incident require different decisions. A generic acknowledgement can leave a service issue unresolved or expose information that should have moved to a private channel.
The four-part Review Response Matrix
| Type | Main question | Default path |
|---|---|---|
| Verifiable service experience | Can the team locate the relevant service record? | Brief public response and assigned private follow-up |
| Factual dispute or unknown identity | Which claims are verified and which remain unknown? | Preserve, investigate and correct only supported facts |
| Suspected policy violation | Which exact platform rule may apply? | Use the formal reporting process with specific evidence |
| High-risk incident | Does it involve privacy, law, regulation, safety or a major crisis? | Stop template replies and escalate to the authorised specialist |
Five operating steps
Preserve the full review and URL. Separate verified facts from unknowns. Assign the highest applicable risk class. Choose one primary response path. Record the owner, next update and final outcome.
For example, a restaurant may receive one review with a verifiable visit date and another that exposes an employee's phone number and contains unrelated threats. The first can receive a service response and private follow-up. The second requires evidence preservation, privacy-safe handling and a platform-policy review.
