Ten fields for the Brand Fact Sheet
Record the legal company name and public brand name; one-sentence positioning; principal services and exclusions; markets served; verified founding date and milestones; official website and service pages; contact details; official social accounts; approved founder or spokesperson information; and an evidence URL, owner and review date for each fact.
Do not add unverified rankings, customer numbers, media labels or inferred market claims. The sheet is an operational source of truth, not promotional copy.
A three-layer publishing model
The first layer is the internal master sheet. Each field has an accountable owner and every update records a date and reason.
The second layer is the official website. Homepage, About, Contact and service pages should match the visible content, metadata, Organization structured data and language variants. Structured data should describe information that is actually present and verifiable on the page.
The third layer is the external network: Google Business Profile, LinkedIn, RedNote, YouTube, business directories, partner websites and media biographies. Update high-impact controlled channels first. Where direct editing is impossible, send the third party a specific correction and the corresponding official source.
For example, a Hong Kong cross-border marketing firm may use its new brand name on the website while Google still shows an old phone number, LinkedIn lists an outdated service range and event pages use several English names. The Brand Fact Sheet determines the current version and turns every discrepancy into an assigned correction task. Only then should the team use a fixed prompt panel to see whether search and AI descriptions are becoming more consistent.
Monthly audit
Review the homepage, About page, Contact page, Organization schema, two primary social profiles and five high-visibility third-party records in each priority language. Any change to services, address, phone number, spokesperson or legal entity starts in the master sheet before it is distributed to channel owners.
